The right real estate CRM for an Egyptian agency or brokerage is the one that collects every lead from your ads and website in one place, assigns it to one sales rep straight away, and warns you when follow-up slips. Software that only stores records, such as an Excel sheet or an Access database, tells you what happened; it does not stop a lead from going cold. This guide explains the types of real estate software, what "free" really means, and how to choose.

The short version: first decide which kind of software you need: a sales CRM, a property management (rentals) system, or accounting software. Agencies that market and sell units almost always need the first. Judge any option with five questions. Does it receive ad leads automatically? Does every lead have a clear owner? Does it alert you to delays? Does it show your projects and units to buyers? Does the manager get a report without anyone compiling it by hand? Then test it on one real week of work before you pay.

What counts as real estate software? Three types people confuse

"Real estate software" is used for three different products. Mixing them up is the most common reason agencies buy the wrong one.

This article is about the first type, because that is what agencies that sell and market property need. If your core business is collecting rent, you are looking for property management software. If your question is about tax and bookkeeping, ask your accountant; a sales CRM does not replace accounting software.

Excel and Access, or a cloud real estate CRM?

Many agencies start by searching for a free real estate Access database or a desktop program to download. The idea is reasonable: one file on the office PC, no subscription. It works, but only up to a point.

An Access database is fine for a solo broker entering a handful of contacts a week. Once paid ads start, manual entry becomes the leak: a buyer who filled in a form on Thursday evening may not be seen until Sunday.

There is a compliance angle in Egypt too. The General Organization for Export and Import Control (GOEIC) publishes the supervisory controls for real-estate brokers on its broker page. Those controls require brokers to keep contract records, client identification documents and correspondence for at least five years, stored securely, easy to retrieve, and backed up in a safe place. A spreadsheet on one office computer makes that hard.

What should the best real estate software in Egypt do?

There is no single best real estate CRM for every company, only the best fit for how you sell. Use these nine criteria to judge any product, Buildoura included:

Free real estate software: what you get and where the limits are

Looking for a free real estate CRM is sensible, especially for a new office. "Free" comes in three forms, and each has an indirect cost:

  • A template you download (Excel or Access): free, but you carry the manual entry, the backups and the risk of losing the file.
  • A time-limited trial: complete, but it ends, and your data may be locked if you do not subscribe.
  • A permanent free plan with limits: no end date, but a cap on leads or units.

Always ask: which limit will I hit first, and what happens to my data when I do?

Free rental or property management software should be judged on different things: rent reminders, a maintenance log and lease expiry dates. And no free accounting tool replaces a review by a qualified accountant.

Custom-built real estate software or an off-the-shelf product?

Some companies consider commissioning their own system. That makes sense for a large developer with unusual processes and a permanent tech team. For a small agency it is expensive.

A practical rule: start with a ready-made product and write down what is genuinely missing for three months. If the list stays long and it is costing you sales, then consider custom work.

The website is part of the sales system

Buyers find property on apps and listing portals, then call you. If you have no website showing your own projects and units, the buyer goes back to the portal and compares you with dozens of similar listings.

Real estate software outside Egypt: Saudi Arabia, the UAE and the Gulf

If you are choosing real estate software in Saudi Arabia, the UAE, Kuwait or Qatar, the same nine criteria apply, plus four local questions. Does it support your currency? Does it accept the payment methods available to you? Can it show the licence details your regulator requires in ads? Is the data hosted in a way your local rules allow?

In Saudi Arabia, for example, Article 10 of the Real Estate Brokerage Law requires the broker to state their name and licence number in any advertisement or publication about a property. Software that publishes your listings has to make room for that.

  5. Review on day seven: how many leads came in, how many were contacted the same day, and how many have no follow-up?
